Policy Agreement
We have set the following scheduling policies and priorities to fulfill the Tarble Arts Center's mission to "bring arts to the people" and become a community and creative arts hub. The Tarble Arts Center makes all final scheduling decisions at its discretion.
Scheduling Priorities:
The list below is in order of priority to meet Tarble's mission. All events will be on a first-come, first-served basis. In case of two conflicting event requests, the priority list below will determine which event is approved.
- - Tarble events and programming.
- Academic events and programming for the Department of Art + Design.
- EIU administration, admission, or homecoming events.
- Community events, classes, programs, camps, or performances related to the arts.
- College of Liberal Arts & Sciences events.
- All other EIU entity events.
- Student RSOs.
- All other events.
After-Hours Events:
Events outside the Tarble's standard operating hours will have limited time in our galleries. All after-hours events may use our galleries for one hour if requested. Afterward, our galleries will be closed, and guests must stay within the Commonspace/Atrium. For an extended time in our gallery space, please get in touch with Mya Harbison at mjharbison@eiu.edu.
Set up & Pick up:
The requesting organization/entity must coordinate its desired furniture set-up with the Audience Development Manager. Only the Tarble staff or EIU facilities is authorized to move furniture independently.
The organization/entity must set up and pick up any outside linens, decorations, materials, or equipment. At the end of the event, all trash must be disposed of in the provided bins, and the space must be returned to its original state.
If the requesting organization/entity fails to abide by the policies above, it will be fined for the extra time spent cleaning. If it refuses to pick up after itself or violates any other policy in this document, the organization will consider not approving a request, banning any future use of our space.
Catered Events:
In the case of an event with catered services, you must use a permitted caterer or submit a permit application to the Coles County Health Department. Services are also available at Panther Catering. If you are requesting liquor services, you must contact MLK Union to provide those services. If you have questions, reach out to Misty Kiser at mmkiser@eiu.edu.
Billing Fees & Policies:
Rates vary depending on whether the requesting entity is part of EIU, sponsored by EIU, or a registered non-profit, private organization, or business. If the requesting entity is funded entirely or partly by EIU, it will receive the EIU rate. To obtain the non-profit rate, the group requesting the space must provide a valid copy of its current 501(c)(3) paperwork.
The rates are provided below.
EIU Admin, Advancement, and Foundation:
Commonspace/Atrium — $0
Tarble Classroom (stand-alone or as an additional space) — $0
EIU Departments, EIU Sponsored, Non-Profit Organizations, and Tarble Patron-level Members:
Commonspace/Atrium — $70*
Tarble Classroom (stand-alone or as an additional space) — $50
Private Organization, Business, or Individuals:
Commonspace/Atrium — $150*
Tarble Classroom (stand-alone or as an additional space) — $50
Any equipment or goods that the Tarble Arts Center does not have must be provided or rented by the requesting organization or entity. All equipment listed in "Anticipated Equipment Needs" belongs to the Tarble Arts Center.
*Staffing fees for up to 4 staff members are included in the flat rates above.
Additional Fees:
If the event uses Tarble's linens, a $25 dry-cleaning fee will be added to the final bill following the event. This flat fee applies to all linens used.
If the requested event damages or breaks any equipment or artwork owned by the Tarble Arts Center/º£½Ç´óÉñ, the requesting organization will be billed for the repair, replacement, or conservation of that equipment or artwork.
If the requested event requires the use of our classroom materials, the requesting organization will be billed to cover the cost of the materials. This fee can vary depending on the activity taking place.
Additional Policies:
- - No flash photography.
- Decorations must not damage or require the removal of artwork.
- Food and drink are not allowed in spaces that contain artwork.
- Museum staff must facilitate or supervise food and drink movement through spaces with artwork.
- Weapons, firearms, and hazardous materials, including pepper spray, mace, flammable liquids, adhesives, aerosols, fuels, fireworks, toxic chemicals, and explosives, are prohibited.
- Confetti, glitter, haze spray, and fog machines are also prohibited.
- Political events of any kind are prohibited.
- No pets.
- Service animals are welcome.
